Job Description: HR Operations * Support the HR Manager in the implementation, development and continuous improvement of HR policies, procedures and best practices. * Coordinate the end-to-end recruitment process, including manpower requests, candidate screening, interview scheduling, offer preparation, onboarding and induction. * Monitor recruitment activities to ensure timely manpower sourcing and mobilization. * Coordinate employee onboarding, transfers, promotions, confirmations, contract renewals and separation processes. * Support employee relations by responding to HR-related inquiries and assisting in resolving employee issues in accordance with company policies. * Monitor employee attendance, leave records and other HR transactions. * Assist in identifying training needs and coordinating training and development activities. * Participate in HR initiatives, projects and continuous improvement programs assigned by the HR Manager. Payroll Administration * Prepare and coordinate the monthly payroll process in accordance with company policies and payroll schedules. * Verify attendance, overtime, leave records, allowances, deductions and all payroll-related transactions to ensure payroll accuracy. * Prepare and validate payroll inputs, including new joiners, resignations, salary revisions, promotions, incentives and other payroll adjustments. * Review payroll reports and reconcile discrepancies prior to submission to the HR Manager for review and approval. * Coordinate with the Finance Department to ensure timely and accurate salary payments. * Respond to employee payroll inquiries and resolve payroll discrepancies. * Maintain payroll records and supporting documentation with strict confidentiality. * Prepare payroll reports and analysis as requested by Management. * Ensure compliance with UAE Labour Law, company policies and statutory payroll requirements. HR Administration * Coordinate visa applications, labor cards, Emirates ID, medical insurance, work permits, employee cancellations and other government-related HR processes. * Monitor the validity of employee documents and ensure timely renewals. * Coordinate with PROs, government authorities and external service providers regarding HR and administrative matters. * Prepare employment contracts, HR letters, employment certificates and other employee-related documentation. * Maintain complete, accurate and confidential employee files and HR records. * Support the administration and renewal of company licenses and official permits. * Coordinate vehicle registration, renewal and related administrative documentation. * Support the administration of employee medical insurance enrollment and renewals. * Coordinate inward and outward correspondence related to HR/PR activities. * Follow up with departments to obtain pending documentation and approvals. Reporting & Compliance * Prepare periodic HR reports, manpower statistics, KPIs and other reports as requested by the HR Manager. * Support the preparation of reports required by Management, Shareholders and Veolia Group. * Assist internal and external auditors by preparing HR documentation and providing accurate records. * Ensure compliance with UAE Labour Law, company policies, HR procedures and document retention requirements. * Maintain accurate HR databases and personnel records. Department Support * Support the HR Manager in coordinating the daily activities of the HR/PR Department. * Work collaboratively with HR team members to ensure the efficient delivery of HR/PR services. * Perform HR Assistant duties during periods of absence, high workload or business requirements to ensure continuity of operations. * Assist in prioritizing daily HR activities to ensure timely completion of departmental objectives. * Act on behalf of the HR Manager in operational matters when delegated. Continuous Improvement * Identify opportunities to improve HR processes, systems and service delivery. * Assist in developing and updating Standard Operating Procedures (SOPs), forms and work instructions. * Support HR digitalization initiatives and other continuous improvement projects. * Recommend improvements to enhance operational efficiency, compliance and employee experience. QHSE Responsibilities * Understand, implement and promote the Company’s QHSE policies, procedures and objectives. * Ensure HR activities comply with QHSE requirements and company standards. * Report hazards, incidents, near misses and non-conformities in accordance with company procedures. * Participate in risk assessments and continual improvement initiatives. * Work closely with the QHSE Department to integrate QHSE requirements into daily HR operations. General Responsibilities * Maintain the highest standards of professionalism, integrity and confidentiality. * Coordinate effectively with all departments to ensure timely and efficient HR service delivery. * Build and maintain positive working relationships with employees, government authorities and external stakeholders. * Undertake any other reasonable work or related duties assigned by the HR Manager
Requirements * Bachelor’s degree in Human Resources, Business Administration, or a related field. * 5+ years of relevant HR experience, ideally in a multicultural or fast-paced environment. * Strong knowledge of HR operations, employee relations, recruitment, onboarding, and performance management. * Good knowledge of UAE Labour Law and HR best practices. Fluent in English; Arabic is an advantage.
