Role Objective We are looking for a procurement specialist who is not a normal purchaser, but a complete all-rounder for luxury villa renovation and high-end residential fit-out projects. The person must combine procurement, technical material knowledge, BOQ preparation, quantity take-off, drawing review, supplier negotiation, market intelligence, and execution support. The right candidate must be able to read design drawings, AutoCAD files, shop drawings, specifications, material schedules and mood boards, then prepare or verify BOQs independently. He must understand the actual product, not only the price: whether a wood is solid wood, veneer, MDF, HDF, MR MDF, plywood or laminate; whether a floor is marble, limestone, travertine, porcelain, ceramic or engineered stone; and whether fittings, hardware, sanitary ware, lighting and finishes are genuine, durable, suitable for Dubai conditions and aligned with luxury standards. Why This Role Is Critical Luxury villa renovation procurement requires control over four things at the same time: design intent, technical specification, cost, and quality. This person must protect the project from wrong materials, inflated supplier pricing, poor substitutes, delayed delivery, incomplete BOQs, vague scopes, and low-quality alternatives presented as premium materials. Core Responsibilities Technical Drawing Review, Quantity Take-Off & BOQ Preparation • Read and interpret architectural, interior design, joinery, MEP, civil, landscape and AutoCAD drawings. • Prepare detailed BOQs independently from design drawings, AutoCAD files, specifications, sketches, mood boards and site measurements. • Perform quantity take-offs for flooring, wall finishes, ceilings, doors, joinery, wardrobes, kitchens, vanity units, sanitary ware, lighting, electrical points, MEP items, stone cladding, facade materials, landscaping and outdoor works. • Compare consultant/designer BOQs against drawings and identify missing items, incorrect quantities, vague specifications, duplication, scope gaps and unrealistic allowances. • Create item-wise procurement schedules linked to the project timeline, lead times, approval cycle, mockups, sample approvals and site installation dates. • Coordinate with QS, project manager, designer, architect, site engineer and contractors to freeze specifications before purchase orders are released. • Prepare rate analysis, budget comparison and value-engineering options without reducing the luxury quality level. Material Sourcing & Supplier Management • Source high-quality materials for luxury villa renovation, complete build-up, fit-out, joinery, finishing, MEP, landscape and external works. • Identify reliable suppliers, manufacturers, direct importers, distributors, showrooms, workshops and subcontractors in Dubai, Sharjah, Abu Dhabi and wider UAE. • Build and maintain a verified supplier database by material category, brand, quality level, price point, lead time, warranty, country of origin and reliability. • Source direct from factories, authorized distributors or importers where possible to avoid unnecessary middlemen and inflated markups. • Negotiate pricing, payment terms, warranties, replacement terms, delivery schedules, credit terms, after-sales service and penalties for delays or wrong supply. • Prepare side-by-side quotation comparisons with technical compliance, brand, specification, origin, warranty, lead time, installation requirement and final negotiated price. Deep Product & Material Knowledge • Differentiate real wood, solid wood, engineered wood, plywood, MDF, HDF, MR MDF, veneer, laminate, melamine, lacquer, PU paint and edge-banding quality. • Differentiate natural marble, granite, travertine, limestone, onyx, engineered stone, terrazzo, porcelain, ceramic and outdoor anti-slip tiles. • Understand stone thickness, slabs, book-matching, vein matching, sealing, water absorption, outdoor suitability, slip resistance, staining, chipping and maintenance. • Understand luxury sanitary ware, mixers, concealed cisterns, shower systems, bathtubs, drains, vanity units, accessories and brand/quality differences. • Understand architectural lighting, decorative lighting, LED profiles, drivers, color temperature, CRI, dimming systems, outdoor IP ratings and smart-home compatibility. • Understand doors, pivot doors, pocket doors, hidden doors, ironmongery, locks, hinges, magnetic locks, handles, sliding systems and hardware quality. • Understand wall panels, gypsum, shadow gaps, skirting, aluminum trims, wallpapers, decorative paints, acoustic panels, outdoor finishes, pergolas and landscape materials. • Identify low-quality substitutes, fake branding, weak warranties, unsuitable products and products not fit for Dubai climate or luxury villa use. Procurement Execution & Documentation • Prepare RFQs, RFPs, supplier enquiries, comparison sheets, purchase requisitions, LPOs, delivery schedules, approval logs, sample logs and procurement trackers. • Check supplier quotations against BOQ, specification, drawing references, brand, finish, dimensions, quantity, installation method and warranty. • Monitor order status, lead times, shipment, delivery, site receipt, storage conditions, damage reports, replacement items and pending balances. • Coordinate GRNs, invoices, payment requests, supplier claims, returns, variation quotations, debit notes and procurement documentation. • Ensure every purchase has clear backup: approved sample, technical datasheet, quote comparison, final negotiated price, warranty and delivery commitment. • Keep procurement records organized so every material decision can be traced and defended. Quality Control, Samples & Material Submittals • Collect, compare and organize samples, catalogues, technical datasheets, mockups, warranties, certifications and compliance documents. • Prepare and track material submittals for designer/consultant/client approval. • Inspect samples and supplied materials for finish, thickness, color consistency, dimensions, workmanship, durability, brand authenticity and compliance. • Reject or escalate wrong, damaged, inferior, delayed, overpriced or non-compliant materials before they enter the project workflow. • Coordinate mockups for critical items such as stone, joinery, flooring, doors, lighting, sanitary fittings, wall finishes and facade materials. Cost Control, Value Engineering & Market Intelligence • Benchmark Dubai/UAE market pricing for key luxury villa materials and subcontract packages. • Identify where premium quality can be sourced at better value without compromising design, durability or luxury finish. • Provide alternative options by quality tier: ultra-premium, premium, good-value premium and unacceptable/avoid. • Support budget control by identifying early cost overruns, overpriced items, missing scope and poor procurement timing. • Prepare monthly savings reports, supplier performance reports and pending procurement risk reports. • Keep updated on new suppliers, brands, imported materials, local stock availability, factory capabilities and market price changes. Site, Contractor & Subcontractor Coordination • Coordinate with site teams before ordering to confirm final measurements, site readiness and installation sequence. • Understand the difference between supply-only, supply-and-install, labor-only and subcontract package pricing. • Check subcontractor quotations for missing accessories, fixing items, installation consumables, wastage, delivery, protection, testing and warranty. • Visit suppliers, factories, showrooms, stone yards, joinery workshops and project sites as required. • Ensure materials reach site on time and are suitable for the intended installation area and method. Requirements
Required Experience • Minimum 5+ years of UAE/Dubai procurement experience in luxury villa renovation, high-end fit-out, joinery, building materials, interior contracting, building contracting, or premium residential construction. • Proven experience preparing or reviewing BOQs and quantity take-offs from drawings, AutoCAD files and specifications. • Hands-on supplier network in Dubai/UAE for fit-out, joinery, stone, tiles, sanitary ware, lighting, doors, hardware, paint, landscape and building materials. • Experience dealing with designers, consultants, QS teams, project managers, site engineers, contractors, subcontractors, workshops and suppliers. • Experience with luxury villas, mansions, private residences, premium hospitality, show villas, palaces or high-end residential projects is strongly preferred. Required Technical Skills • Ability to read AutoCAD drawings, PDFs, shop drawings, IFC drawings, specifications, material schedules and mood boards. • Ability to prepare BOQ, quantity take-off, rate analysis, material comparison and procurement schedule independently. • Strong Excel skills for BOQ, comparison sheets, procurement tracker, budget tracker, supplier database and savings reports. • Working knowledge of AutoCAD. Ability to measure, review and extract quantities is required; drafting ability is an advantage. • Understanding of drawing revisions, RFIs, material submittals, approvals, mockups, variation orders, LPOs, GRNs and procurement documentation. • Understanding of supply-only vs supply-and-install packages, subcontract scope gaps and installation accessories. Qualifications • Bachelor degree or diploma in Civil Engineering, Architecture, Interior Design, Quantity Surveying, Construction Management, Supply Chain, Procurement or a related field is preferred. • Candidates with strong hands-on luxury fit-out, joinery, building material or contracting experience may be considered even if their degree is not directly related. • UAE driving license preferred/required. • Knowledge of ERP/procurement systems is an advantage. Candidate Personality & Work Style • Hands-on market person, not only an office purchaser. • Detail-oriented and technically curious; asks why one material is better than another. • Commercially sharp and strong in negotiation. • Confident enough to challenge suppliers, contractors and vague specifications. • Organized, disciplined and able to maintain complete procurement records. • Can work directly with the Chairman/project leadership and give practical recommendations. • Understands luxury standards and does not accept cheap-looking finishes.
