The Role Guildhall is supporting a growing UAE-based food and hospitality business in the search for a Finance & Administration Manager to take full ownership of the company’s day-to-day finance, payroll, administration, and compliance activities. This is a hands-on, standalone position suited to an experienced finance professional who is comfortable managing accounting operations, payroll, employee administration, and UAE corporate compliance independently. The role will work closely with management to ensure accurate financial reporting, timely payments, effective payroll processing, and all regulatory and administrative requirements are kept up to date. Key Responsibilities: - Manage day-to-day accounts receivable and accounts payable, including customer invoicing, collections, supplier invoices and payments - Maintain accurate financial records and conduct monthly bank, customer and supplier reconciliations - Prepare monthly P&L, cash flow/cash position, accounts receivable and accounts payable reports for management - Process monthly payroll through the UAE WPS, including overtime, deductions, leave salary, gratuity and final settlements - Maintain accurate employee attendance, leave, payroll and confidential personnel records - Manage recurring company expenses and subscriptions, tracking renewals, payments and opportunities to reduce unnecessary costs - Maintain a comprehensive calendar for company licences, permits, insurance, tenancy contracts, employee visas and other regulatory renewals - Coordinate with internal teams, government authorities, PROs and external service providers to ensure all renewals and compliance requirements are completed on time - Support UAE VAT and Corporate Tax filings and maintain organised financial and tax documentation - Ensure company and employee records are accurate, organised and readily available for audit and compliance purposes
Requirements - Bachelor’s degree in Accounting, Finance, Business Administration, or a related field - Minimum 5 years of finance and administration experience, including at least 3 years of UAE experience - Strong hands-on experience across accounts receivable, accounts payable, payroll and financial reconciliations - Proven experience processing UAE WPS payroll - Good understanding of UAE Labour Law, VAT, Corporate Tax, WPS, visa procedures and company licence renewals - Experience handling employee leave, attendance, gratuity and final settlements - Strong Excel skills and experience with accounting systems; Zoho Books is highly preferred - Previous experience in a standalone finance/admin role is strongly preferred - Experience within F&B, hospitality, retail or a fast-paced SME environment is an advantage - Highly organised, detail-oriented and able to manage multiple deadlines independently - Strong written and spoken English communication skills
