The Role Coordinate and follow up on inbound and outbound shipments with freight forwarders, shipping lines, customs brokers, transporters, and 3PL service providers, including Bahri. Track shipment status from origin to final delivery and ensure timely updates are shared with relevant internal stakeholders. Monitor freight forwarding activities, including booking confirmation, vessel schedules, container status, customs clearance progress, delivery orders, and final-mile delivery. Support the review and verification of shipping documents, including bills of lading, commercial invoices, packing lists, certificates of origin, delivery orders, and customs-related documents. Maintain accurate shipment tracking records and ensure all shipment milestones are updated in the relevant tracking sheets, ERP systems, or logistics platforms. Follow up with Bahri and other 3PL providers to ensure shipments are handled in line with agreed service levels, delivery timelines, and operational requirements. Coordinate with internal departments to confirm shipment readiness, delivery priorities, site requirements, and any special handling instructions. Support customs clearance activities by coordinating required documentation and following up with customs brokers to avoid delays, demurrage, detention, or storage charges. Monitor potential shipment delays, risks, or exceptions and escalate issues to the relevant stakeholders for timely resolution. Support the preparation of logistics reports, shipment status updates, delivery summaries, and performance dashboards. Assist in reviewing freight, transportation, customs clearance, and 3PL invoices against agreed rates, service confirmations, and supporting documents. Coordinate delivery schedules with warehouses, project sites, vendors, and 3PL partners to ensure smooth receiving and handover of materials. Support warehouse and receiving teams by providing advance shipment details, packing lists, expected arrival dates, and delivery documentation. Maintain proper filing and documentation for all logistics transactions, including shipment records, customs documents, delivery notes, and proof of delivery. Assist in monitoring 3PL and freight forwarder performance, including delivery accuracy, response time, shipment visibility, documentation quality, and issue resolution. Support the identification of logistics process improvements to enhance shipment visibility, reduce delays, and improve coordination with service providers. Follow up on containers and shipments to minimize unnecessary demurrage, detention, port storage, and other avoidable logistics costs. Coordinate with procurement, vendors, and freight forwarders to ensure Incoterms, shipping instructions, and delivery requirements are clearly communicated and followed. Support the resolution of shipment discrepancies, damaged goods, missing documents, customs holds, or delivery issues in coordination with relevant parties. Ensure logistics and freight forwarding activities are carried out in compliance with policies, local regulations, customs requirements, and applicable shipping procedures.
Requirements Bachelors degree or diploma in Logistics, Supply Chain Management, Business Administration, Operations Management, Industrial Engineering, or any related field. Professional certifications in logistics, supply chain, or warehousing are preferred. Excellent Written and Spoken English Minimum 13 years of experience in logistics, freight forwarding, warehouse operations, shipment tracking, or supply chain coordination. Experience should include coordinating with freight forwarders, 3PL providers, customs brokers, shipping lines, transporters, and vendors. The role requires practical knowledge of import/export documentation, shipment tracking, customs clearance follow-up, delivery coordination, warehouse receiving, cost tracking, and logistics reporting.
